ποΈ Database Overview in HostedSuite
This article provides a general overview of how HostedSuite manages its database, including records, statuses, backups, synchronization, and auditing.
π About Records
HostedSuite organizes data into records, each belonging to a specific type. Common record types include:
-
Clients
-
Contacts
-
Meeting Rooms
-
Tickets
Record Statuses
Each record has one of the following statuses:
-
Active β Currently used and accessible in the system.
-
Archived β Not active but may be needed for reporting or future use (e.g., past clients).
-
Deleted β Removed from daily operations but still viewable if needed.
-
Deleted Forever β Permanently erased from the database and cannot be recovered.
π Data Backup
HostedSuite ensures high data reliability through automatic backups:
-
Databases are backed up multiple times daily to multiple servers.
-
A daily snapshot is saved for the past 90 days.
-
Older backups are automatically overwritten.
β No manual action is requiredβall backups are handled automatically by HostedSuite.
π Synchronization
The HostedSuite system stays fully synchronized in real time:
-
The local HostedSuite server and the web database are continuously mirrored.
-
Changes made on either side (web or local) are reflected immediately in both.
π Auditing
HostedSuite provides full visibility into database activity:
-
Every change to a record is tracked.
-
The system logs who made the change, what was changed, and when it occurred.
-
This ensures accountability and simplifies tracking down unauthorized or accidental changes.
By maintaining robust data management systems, HostedSuite ensures your business-critical information is secure, reliable, and transparent.
